Quick Answer

Best Enterprise Data Extraction Tools for Mid-Size Companies

Published:

The short answer

Start with the extractor that lives in the cloud you already pay for, and add one specialist for the documents it gets wrong. For a company of 1,000 to 10,000 employees, extraction volume is usually tens of thousands to a few hundred thousand pages a month — invoices, purchase orders, contracts, claims, HR and onboarding forms. At that size the deciding factors are cost per correct field, how exceptions get reviewed, and who maintains the workflows. As of October 21, 2026:

  • Azure Document Intelligence — best for Microsoft 365 and Power Automate shops.
  • Google Document AI — best for Google Cloud shops and US finance forms.
  • AWS Textract — best for AWS-native pipelines that need a few fields per page.
  • Reducto Extract — best for messy, high-stakes documents that need cited fields.
  • Mistral Document AI — cheapest schema extraction at list price.
  • ABBYY Vantage — best when business analysts, not developers, own the process.

What 100,000 pages a month costs

JobCheapest fitList cost per month
Invoices and receipts (standard fields)Azure prebuilt~$1,000
Same, Google invoice parser (1 page per document)Google Document AI~$10,000 per 100,000 documents
A few fields from each pageTextract Queries~$1,500
Custom document type, schema JSONMistral Document AI~$500
Custom type, cited fields, ugly scansReducto Extract~$2,000 ($1,600 batch)
Custom type, Microsoft or GoogleAzure custom / Google Custom Extractor~$3,000

Note Google’s prebuilt parsers bill per document, not per page: a one-page invoice costs $0.10, which is ten times Azure’s per-page prebuilt rate. Multi-page documents (up to Google’s page limits) narrow the gap.

How to choose in five questions

  1. Which cloud contract do you have? Procurement, SSO, data residency and security review are already done there. Start with that vendor’s extractor.
  2. What share of documents are standard forms? If most are invoices and receipts, prebuilt models are enough. If most are your own forms or contracts, compare schema extractors (Google Custom Extractor, Azure custom, Reducto, Mistral) on a 200-document sample.
  3. How bad are the scans? Faxes, phone photos and rotated tables are where Reducto’s Deep Extract and agentic correction earn their price.
  4. Who reviews exceptions? Budget for it. At 10% of documents flagged and a minute per review, human review costs more than any API on this list. Choose the tool whose confidence scores let you flag fewer documents safely.
  5. Who maintains it? No spare developers → ABBYY Vantage or Azure with Power Automate. A platform team → any API.

How to run a fair bake-off

Pick 200 real documents across your top five types, write the expected values for 10–20 fields each, and measure field-level accuracy, the share of documents that need review at your chosen confidence threshold, and cost per fully correct document. Most vendors offer enough free usage for this: Reducto includes $150, Google gives the first 1,000 Enterprise OCR pages a month free, and Azure has a free tier.
