Avoca AI vs Call Center Labor Costs: An Evaluation
The short answer
Avoca AI cuts call center labor costs mainly by replacing after-hours vendors, overflow staffing and routine booking calls — not by eliminating every CSR. The maths is favourable once you count what 24/7 phone coverage really costs: a single seat staffed around the clock takes about 4.2 full-time employees, roughly $188,000 a year in wages at the 2025 US median CSR pay of $21.53 an hour, before benefits and overhead. Third-party estimates put Avoca at $1,000–$3,500 a month. This page is the labor-cost spoke of our Avoca AI evaluation; figures checked October 19, 2026.
What each option costs
| Option | Pricing (Oct 19, 2026) | Approx. cost per minute | Coverage | Source of figure |
|---|---|---|---|---|
| In-house CSR | $21.53/h median wage ($44,770/yr) | ~$0.36/min of paid time (wages only) | Shift hours only | BLS, 2025 median |
| Ruby (live virtual receptionists) | 500 min for $1,725/mo; 200 min $720; 100 min $395 | ~$3.45–$3.95 | 24/7 | Ruby pricing page |
| Sameday AI (AI CSR, home services) | Launch from $449/mo (500 min); Scale from $789/mo (1,000 min) | ~$0.79–$0.90 | 24/7 | Sameday pricing page |
| Avoca AI | Quote only; est. ~$1,000–$3,500/mo by volume, ~$600 setup | est. ~$0.75–$1.15 | 24/7, voice/SMS/chat | Third-party estimate (ServiceAgent) |
Note the trap in the first row: a CSR’s $0.36 is per paid minute, and a CSR is not on a call every paid minute. AI and answering services charge per handled minute, so compare on handled minutes, or on total monthly cost for the coverage you need.
A cost model for a mid-size contractor
Assume a regional HVAC company with three CSRs on weekday shifts, an after-hours answering service, and about 1,000 handled minutes a month that are after hours or overflow.
- Current after-hours and overflow cost: 1,000 minutes on a live answering service at Ruby-style rates ≈ $3,450 a month (500-minute plan rate extended), plus the bookings it loses because a message is not a booking.
- AI agent for the same minutes: about $1,100 on the third-party Avoca estimate, or $789 on Sameday’s Scale plan — and the agent books into the dispatch board instead of taking a message.
- CSR hours: unchanged at first. The saving grows when the agent absorbs routine daytime calls (confirmations, reschedules, simple bookings) and lets you avoid the next hire instead of filling it.
That pattern matches Avoca’s own published case: Granite Comfort consolidated nine contact centres into one and replaced all nine after-hours vendors, and its pilot brand grew revenue 20% year over year, which Avoca attributes mostly to captured calls rather than lower payroll.
When Avoca is the right labor play
- Multi-location or PE-backed operators paying several after-hours vendors and struggling to staff CSR roles — the case Avoca is built and priced for.
- ServiceTitan shops that want booking into the dispatch board, estimate follow-up and capacity-based outbound campaigns.
- Not a one-truck shop missing 30 calls a month: Sameday’s entry plan, Jobber Receptionist or a live answering service costs less than an Avoca contract.
Staffing pressure is real but slow: BLS projects CSR employment to fall 5% from 2025 to 2035 while still producing about 289,500 openings a year, so most contractors will keep hiring — just fewer, for harder calls.
How to prove the savings in a pilot
- Pull 90 days of phone data: handled, missed, after-hours and overflow minutes.
- Price your current coverage per handled minute, including answering-service invoices.
- Run Avoca (or a rival) on one location for 30–60 days with recordings on.
- Count bookings per handled minute against your best human CSR, and audit 50 bookings for accuracy.
- Decide on avoided hires and dropped vendors, not hoped-for layoffs.
