Best AI Notetaker for Executives: Quick Setup, Private Notes
The short answer
Granola is the best AI notetaker for most executives: install it in minutes, no bot joins your calls, and notes stay personal until you share them. As of November 4, 2026:
- Granola — best overall: bot-free, personal by default, Business $14/user/month.
- Anarlog — best when notes must never leave your laptop: open source, local models, free.
- Fathom — best free option and best if your team will share recordings: Premium $16/month annually.
- Fireflies — best when your sales team wants CRM sync: Business $19/seat/month annually.
- Otter — cheapest paid cloud plan: Pro $6.67/month billed annually.

What executives need that others do not
- No visible bot. A bot in a board or investor call changes the conversation.
- Personal by default. Your notes on a 1:1 should not land in a shared team folder.
- Setup in one sitting. Calendar connection and done — no admin rollout needed to start.
- Mobile and in-person capture. Half of an executive’s meetings are not on Zoom.
- A delegate can find things. Search and AI chat across past meetings, ideally with an MCP connection to the assistant you already use.

1. Granola — best overall
Granola captures audio from your own device, so it works on any platform, in person and on the phone, with nothing in the participant list. You type rough notes and it enhances them from the transcript; pre-meeting briefs and follow-up emails are built in. Basic is free with 30 days of history; Business ($14) adds unlimited history, advanced models, Notion/HubSpot/Zapier integrations, MCP access to personal and shared notes, and API access; Enterprise ($35) adds SSO for 50+ users, SCIM, workspace-wide retention and AI-training opt-out, HIPAA-compliant workspaces and admin-enforced meeting announcements. There is no seat minimum.
Pick it if you want the best notes with the least setup and no bot.
2. Anarlog — notes that never leave the laptop
The open-source notetaker formerly called Hyprnote runs on-device models or your own keys, stores meetings in local SQLite with Markdown export and needs no account. Setup takes longer — you choose and download a model — and there is no shared workspace.
Pick it if you discuss M&A, legal or personnel matters that must not touch a vendor’s cloud.
3. Fathom — the best free plan
Fathom’s Free plan has unlimited recordings and transcription, and you choose bot or bot-free capture (bot-free is beta, Mac). Premium is $16/month annually ($20 monthly) for advanced summaries and action items; Team ($15, 2-user minimum) adds a shared workspace and a standard HIPAA BAA; Business ($25) adds CRM field sync and deal views.
Pick it if you want to start free today, or your chief of staff should see the same recordings.
4. Fireflies — when sales needs the CRM updated
Fireflies records for the whole team and pushes into CRMs; Business adds conversation intelligence. Prices: Pro $10, Business $19 per seat per month billed annually ($18 and $29 monthly), Enterprise $39 annual only, with SSO, SCIM and HIPAA on the top tier.
Pick it if your calls are mostly revenue calls and a bot is acceptable.
5. Otter — the budget option
Otter Pro is $6.67/month billed $79.99 a year ($13.59 monthly), with 1,200 minutes per user, live transcription and an MCP server for AI assistants. It joins calls to take notes.
Pick it if cost matters more than discretion.
How to roll it out in a week
- Day 1: install Granola (or Fathom Free) on laptop and phone, connect your calendar, run it on internal meetings only.
- Day 2: decide your consent line — a sentence at the start of external calls, or the tool’s announcement feature.
- Day 3: connect it to the assistant you already use (Granola and Otter support MCP) so your EA can query past meetings.
- End of week: if notes are good, move to a paid plan; if legal objects to cloud storage, switch to Anarlog.
